Meeting Room Reservations


PLEASE READ THROUGH THE FOLLOWING INFORMATION CAREFULLY BEFORE CLICKING THE BOOK A ROOM BUTTON AT THE BOTTOM OF THE PAGE.


What rooms are available to rent?


Community Room
(Capacity 100)

  • 100 chairs.
  • 30 two-person tables.
  • 2 large serving tables.
  • A projector with dvd/blu-ray player. 
  • AV cables upon request. (We do not provide laptops as part of this service.)
  • Microphones upon request (these must be checked out to a library card and returned to the circulation desk or left in their case on the meeting room stage upon leaving. Failure to comply will result in a full-replacement fee.)
  • Access to kitchenette: includes a microwave, refrigerator, warming oven, coffeepot, and icemaker. (The library does NOT provide coffee, condiments, cups, plates, napkins, etc).
  • If your reservation begins outside of the library’s hours of operation, you must check out a room key within 24 hours of your event. You must have a library card in good standing to check out a room key.)


Conference Room
(Capacity 25)

  • 12 rolling leather chairs.
  • 1 stationary solid-wood boardroom-style table.
  • 13 meeting room chairs available upon request. 
  • Large wall-mounted monitor with HDMI input. 
  • AV cables upon request. (We do not provide laptops as part of this service.)
  • Access to kitchenette: includes a microwave, refrigerator, warming oven, coffeepot, and icemaker. (The library does NOT provide coffee, condiments, cups, plates, napkins, etc).
  • The Conference Room is NOT available for reservation outside of the library’s hours of operation.

* Deposits must be made by check 24 hours before date of booking. Deposit will be returned or destroyed upon request following the date of booking.

**Room reservations with alcohol served MUST hire a police officer to staff the event.

When are the rooms available to rent?

  • The Community Room is available to rent 7am – 11pm*, Monday – Sunday.
    *Paid set-up is available 10am – 5pm, Monday – Saturday; 3 pm – 5 pm, Sunday
  • The Conference Room is available to rent during the library’s hour of operations: Hours

What do I need to know about booking a room?


  • All rentals must be paid in advance.
  • Your reservation encompasses the entirety of the time you have access to the room. If you need time to set-up or clean-up, factor this into your room booking. (ex. Your room reservation is from 12pm – 4pm: You may not enter the room until 12pm; you must be out of the room by 4pm.)
  • Room set-up is not provided but can be requested for an additional $50 fee. During the booking process, select “Set-up” and provide a detailed description in the space below.
  • Paid room set-up begins at the start of your room reservation, please factor this into your time when placing your reservation.
  • Pricing for reservations is determined by 4-hour blocks. If you need a room for more than 4-hours, you must pay the fee for an additional 4-hours. (ex. You book the Conference Room from 12pm - 5pm; you pay $20 for 12pm-4pm + $20 for 4pm-5pm= $40)
  • Reservations can only be made 90 days in advance.
  • Pricing for reservations is determined by 4-hour blocks. If you need a room for more than 4-hours, you must pay the fee for an additional 4-hours. (ex. You book the Conference Room from 12pm - 5pm; you pay $20 for 12pm-4pm + $20 for 4pm-5pm= $40)
  • All rental requests should be made through the Book A Room link found at the bottom of this page. If you need assistance placing the booking, call (205) 445-1133 or email avacca@oneallibrary.org.

What do I need to book a room?


  • You must be 21.
  • You must have a Jefferson County library card in good-standing.
  •  Your library card number.
  •  Your PIN number.

How do I rent a room?

  1. Once you have read through our Meeting Room policies click “Book a Room" at the bottom of the page.
  2. Select your booking type above the calendar on the left side of the page.
  3. Use the calendar to select the date on which you wish to reserve a room.
  4. Choose which room you want to reserve.

    Green= available time slots
    Black =unavailable time slots.

  5. Click the time slot you wish to start your reservation. Then click the time slot you wish to end your reservation. Then select Choose. (NOTE: You must select a set-up option for the community room. If you request paid set-up for the Community Room, it must be between 10am – 5pm, Monday – Saturday or 3pm - 5pm Sunday to be approved.
  6. Enter your library card number and PIN number.
  7. Complete the form and then select Next.
  8. Enter payment information then select Reserve.

What if I need to cancel a room reservation?

  • All cancelations must be made at least 24 hours in advance to receive a full refund.
  • You may reschedule up to the day of your reservation at no additional charge.

Anything else I need to know?

  • Pricing depends on organization type, and all rentals are subject to library approval.
  • Room reservations cannot be placed for birthday parties.
  • Groups are subject to all library rules and regulations and must keep noise to a reasonable level in accordance with the city's noise ordinance.
  • Alcohol can be served with a police officer on site (please contact the Mountain Brook police department to schedule and hire an officer) but red wine is not permitted.
  • Nothing may be attached to the walls, furniture, doors, or ceiling tiles.
  • Fire code prohibits open flames (including candles).
